Safe Environment, Funeral,

and Office Manager

General Summary of the Position:

Responsible for execution of the Parish Safe Environment Program, Coordinating Funerals, and Management of the Front Office Operations.

Responsibilities:

Responsible for all Security Files 

  • Conducting background checks, ensuring complete files, internal communication regarding results and updating required Diocesan database.

 

Manage Safe Environment Program

Ensure all employees and required volunteers complete the safe environment program and files are complete and loaded into required database and to the Diocese.

Attends Diocesan Safe Environment meetings and is the resident expert for the Parish.

Responsible for providing and managing new key badges and volunteer badges for all staff, ministries and volunteers.

Monitor cameras when incidents occur and complete required reports. Collaborate with Director of Operations.

Back up to lock/unlock doors to maintain security.

 

Lead Funerals & Receptions

  • Communicates with family regarding all funeral logistic including date, time celebrant, readings, and possible reception. 

  • Communicates all funeral logistics with Staff and Ministry of Consolation.

  • Creates a Mass script and binder with all necessary information.

  • Manage all details of receptions.

  • Complete all required documentation including Funeral Sacramental Book and information for Ministry of Consolation.

 

Manages the Front Office / Reception Staff

  • Directly manages two employees ensuring excellent customer service and professional representation of the parish to those who call, write or visit.

  • Back up to scheduling facility

 

Assists the Pastor and Director of Operations as required.

  • Provides executive support to Pastor and assists with calendar management including scheduling responsibilities.

  • Supports or leads project for Director of Operations and Pastor as requested.

  • Manages meal scheduling for Priests and Seminarians and all required communications.

 

Complete Diocesan Pastoral Review and bi-annual Mass count

  • Gather required information and communicate as requested.

NECESSARY QUALIFICATIONS FOR THE SERIES

  •  Must be a member of St. Ann or willing to become an active, participating member at employment. 

  • Office Management experience.

  • Experience with Safe Environment programs is a plus.

  • Demonstrate ability to set priorities and organize work effectively and efficiently including developing and maintaining effective record-keeping systems.

  • Successfully manage multiple responsibilities and details in a fast-paced environment.

  • Must be able to interact effectively, cooperate, and collaborate with others to get things done.

  • Must be able to adapt quickly and learn the Church Management System and other software/systems as needed.

  • Ability to honor and maintain confidentiality.
